Position Overview

Disability Rights Michigan (DRM) has an immediate full-time (37.5 hours per week) Program Assistant position for our Rep. Payee Team in the Lansing office. The Representative Payee Program at DRM is charged with conducting reviews on behalf of the Social Security Administration (SSA) to verify representative payees are using benefits on behalf of beneficiaries and are fulfilling representative payee responsibilities and duties correctly.

Duties included are not limited to using information provided by the Social SSA to assist in the completion of representative payee reviews. The Program Assistant will provide assistance to the Representative Payee Team in completing required documentation according to SSA grant award and Business Process Document. Create and maintain files with information provided by SSA for each review from scheduling to completion of the review. Create and format all required correspondence for each review, updating both agency and SSA databases. Maintain the security and safety of personal identifying information (PII) of all individuals involved in representative payee reviews.

Must possess the ability to obtain a Level V moderate risk public trust government clearance by the United States Government Office of Personnel Management. An associate degree in a human service-related field; or relevant experience in administrative support; business/accounting, human services, and disability rights. A minimum of two years of related human services experience including responsibilities working with the public.

Responsibilities

1.        Complete required documentation according to SSA grant award and Business Process Document.

2.      Create and maintain files with information provided by SSA for each review from scheduling to completion of the review.

3.     Create and format all required correspondence for each review, updating both agency and SSA databases. Correspondence shall be sent via U.S. Mail, Federal Express or e fax.

4.     Maintain the security and safety of personal identifying information (PII) of all individuals involved in representative payee reviews.

5.     Prepare review binders containing all information and required forms for each scheduled review.

6.     Map all site locations for each review using the most efficient route for travel.

7.      Maintain calendar with all important dates during the review process along with updating DRM and SSA databases as needed.

8.     Maintain e fax mailbox. Print and distribute e faxes upon receipt.

9.     Proofreading/correcting prepared materials, typing team meeting minutes.

10.  Review staff time sheets, travel advances, and travel vouchers for accuracy before final review by team Director.

11.    Assist staff as needed in completing required forms for conferences, travel, travel advances, etc.

12.  Provide general administrative support to all members of the team.

13.  Track office supplies used by team members. Coordinate the ordering of supplies with the Office Manager.

14.  Attend staff team meetings, training, and in-service programs in office, virtually, or off-site as required.

15.  Participate in cultural activities, collect data, advise Social Security beneficiaries, representative payees, providers, community organizations and others about diversity, equity, and inclusion.

16.  Perform the duties of administrative support as directed and other duties as assigned.

Job Qualifications

1.        Ability to obtain a Level V moderate risk public trust government clearance by the United States Government Office of Personnel Management.

2.      An associate degree in a human service-related field; or relevant experience in administrative support; business/accounting, human services, and disability rights.

3.     A minimum of two years of related human services experience including responsibilities working with the public.

4.      Maintain the security and safety of personal identifying information (PII) of all individuals involved in representative payee reviews.

5.      Ability to maintain confidential information.

6.      Maintain current knowledge of legal mandates, SSA POMs, government systems and DRM policies related to the rights of individuals with disabilities.

7.      Demonstrated ability to provide support to multiple staff.

8.     Demonstrated ability to organize and prioritize multiple demands.

9.     Demonstrated commitment to the civil rights of all people and the ability to work with individuals with a variety of disability characteristics and cultural backgrounds.

10.  Experience working with marginalized populations including individuals with disabilities.

11.    Ability to respond in a professional, non-judgmental manner to emotionally charged issues and negotiate through confrontational situations and stressful interactions.

12.  Maintain communication with team members, DRM, National Association Grantee and SSA staff to exchange information, provide technical assistance/ consultation, and resolve problems.

13.  Written, typing and computer skills necessary for the creation and compilation of various documents.

14.  Demonstrated ability to utilize the DRM database, SSA database and work with various computer software packages including, but not limited to the Microsoft Office suite.

15.  Ability to work independently and as part of a team.

16.  Working knowledge of office practices and procedures.

17.  Ability to manage pressures related to performing multiple tasks requiring concentration and diligence with frequent disruptions due to people and/or telephone calls, and handle pressures related to appropriately responding to difficult clients.

18.  Physical ability to work at a desk for extended periods of time, properly operate required office equipment and transport items weighing up to 25 pounds.

19.  Training in diversity, equity and inclusion or willingness to engage with staff in additional further training in these areas, preferred.

20. COVID-19 vaccination preferred.

WORKING ENVIRONMENT:

1.       Normal office environment with little discomfort or exposure to due unfavorable working conditions.

2.      Work may involve travel to various locations throughout the State with some exposure to adverse weather, traffic hazards, and the like.

3.     Evening and weekend hours may be required.

Salary Range

$42,000 to $47,000
